Process Automation (ITSM Automation)
Process Automation in ITSM is the use of software to let recurring workflows run automatically, without manual intervention. Many IT service processes consist of routine tasks – e.g. onboarding a new employee (creating accounts, setting permissions) or carrying out standardized resolution steps for a known incident. Automating such workflows saves considerable time and cost.
Staff no longer have to deal with time-consuming click sequences or data entry and can concentrate on value-adding activities. Examples: automated notifications (the system sends updates when the ticket status changes), assignments (tickets go to the right team depending on their category) or approvals (the software obtains and documents the responsible manager's approval). Within ITSM, such automation is a core feature of modern tools; Agentic AI and Automation extends it to AI-driven execution.
However, successful process automation requires well-defined, stable processes. Poor or unclear process design is better not automated – optimizing processes is often an upstream step. Automation should also be introduced step by step and remain monitored so that it is possible to intervene in case of errors. Overall, process automation in ITSM leads to faster, more consistent workflows, higher productivity and fewer errors, because manual steps are eliminated or reduced. Suitable ITSM software helps to manage such processes centrally and document them traceably.
